The Opportunity
The Billing Specialist will play an important role in ensuring SoftWave's billing operations run accurately, efficiently, and consistently.
This is a hands-on position for someone who enjoys working with numbers, solving problems, and collaborating across departments to keep processes running smoothly.
You'll manage billing activities related to equipment repairs, refurbishments, and other billable services, ensuring invoices are accurate, properly documented, and delivered on time.
You'll also work closely with our Service Center, Sales, Customer Service, and Finance teams to resolve discrepancies, maintain accurate customer accounts, and identify opportunities to improve billing processes.
This role offers the opportunity to take ownership of an important function that directly supports revenue collection, operational efficiency, and the customer experience.
What You'll Own
Manage accurate and timely invoicing for equipment repairs, refurbishments, and other billable services.
Review work orders, approved quotes, warranty coverage, service agreements, and purchase order requirements to ensure billing accuracy.
Maintain accurate customer billing records, including contact information, tax status, and payment requirements.
Monitor outstanding invoices, identify discrepancies, and coordinate with internal teams to resolve billing issues.
Investigate customer billing questions and disputes, providing professional and timely resolution.
Reconcile customer accounts and correct billing or payment discrepancies.
Partner with Sales, Customer Service, Collections, Training, and Service teams to ensure accurate billing and consistent communication.
Maintain complete, organized, and audit-ready billing documentation.
Prepare billing reports and updates for leadership, including unbilled work, open disputes, and invoice turnaround times.
Identify recurring billing errors, workflow gaps, and opportunities to improve accuracy and efficiency.
Help develop and maintain standard operating procedures, invoice templates, and customer communication standards.
Support process improvements that strengthen cross-functional collaboration and create a more scalable billing operation.
What We're Looking For
We are looking for a detail-oriented billing professional who combines strong technical accuracy with excellent communication and problem-solving skills.
You likely have:
3+ years of billing or related experience, including familiarity with billing processes, invoicing, and revenue cycles.
A high school diploma or equivalent; a bachelor's degree is preferred.
Experience working with CRM, ERP, or accounting systems.
Strong proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
Experience maintaining accurate customer accounts, reconciling discrepancies, and supporting timely payments.
The ability to investigate and resolve billing disputes professionally and effectively.
Strong attention to detail and experience maintaining organized, audit-ready documentation.
Excellent written and verbal communication skills.
Strong analytical, organizational, and time-management skills.
The ability to prioritize competing deadlines in a fast-paced environment.
A collaborative approach to working across departments to resolve issues and improve processes.
Additional experience that would be valuable:
Experience with NetSuite or Sage accounting systems.
Billing experience in a medical device, healthcare, equipment service, or repair environment.
Experience improving billing workflows, developing SOPs, or identifying root causes of recurring issues.
Familiarity with compliance-driven or audit-intensive environments.
Experience analyzing payment trends and customer account activity.
Strong conflict-resolution skills and the ability to navigate challenging customer conversations.
The Kind of Person Who Will Thrive Here
This role is particularly well suited for someone who enjoys bringing structure, accuracy, and accountability to important business processes.
You're naturally detail-oriented, but you also understand the bigger picture. You recognize that accurate billing isn't just about sending invoices—it's about supporting revenue, maintaining customer trust, and helping the business operate effectively.
You take ownership of issues, follow through on commitments, and enjoy working with different teams to find solutions.
You're also someone who notices when a process could work better and isn't afraid to recommend improvements.
